Vendor Table Assignments
Conference App Info & Attendee Info Requested
Each vendor/sponsor should have received emails with instructions related to how to update the vendor profile in the conference app.
Below is a link to let us know who will be attending on behalf of your organization, and how to send us the banner ad to scroll across the bottom of the conference app. The password was previously emailed to the primary contact for your organization. If you are unable to locate it, please contact us.

Welcome Bag Inserts
We will be handing out 400 conference bags. Please plan to ship them to the following address to arrive no later than Wednesday, January 22, 2025:

If you are unable to ship the materials to arrive before Wednesday, January 22, 2025, vendors will be permitted to bring the inserts to the conference but must be hand-delivered to PMI staff by 10:00 the morning of Thursday, January 30th to ensure they can be placed in the welcome bags.
Vendor Table Amenities
PMI will provide the following with each vendor table package purchased:-
- Vendor pass for up to two individuals that allows for the following:
- Participate in all conference education session(s)
- Join attendees for all conference cocktail parties, meals, and breaks
- 6-foot skirted table
- Two chairs
- Waste basket
- Complimentary WiFi Access
- Electrical service for up to 4 devices
- Posting of vendor information in the conference app.

Please be advised that the schedule is subject to changes and vendors should rely on the conference app for the final schedule of events.
Exhibit Times
Unlike other conferences, there will not be any official "Exhibit Hall Hours". As with past PMI conferences, the meals, breaks, and cocktail parties will take place in the vendor areas. To gain maximum exposure, these are the times that attendees will be in the vendor areas, etc.

Exhibit Dismantle Times
We kindly ask that all vendors be prepared to dismantle their booths starting at 3:00PM on Saturday, February 2nd. Please keep in mind that if your vendor table is located in the Legends Prefunction area we ask that you complete your dismantling by 5:00PM to avoid disruption of the Saturday evening cocktail party. (Tables assigned to locations beginning with the letter "A")

Ship Out Details
To ship out, PMI will provide a cart for you to place your outgoing boxes to FedEx or UPS. Please plan to have your forms completed and affixed to the box for the hotel to pick up and move to the loading dock for pick up.
